Executive Administrator / Office Manager This position is responsible for providing high-level administrative, operational, and organizational support to the executive leadership team while ensuring the smooth, efficient, and professional functioning of the office. This role requires exceptional judgment, strong communication skills, deep administrative expertise, and the ability to anticipate needs in a fastpaced, dynamic environment.
This position is based out of our headquarters in Philadelphia, PA with at least 2-3 days per week in the office.
Responsibilities
Job Responsibilities include, but are not limited to:
Provide executive-level administrative support, including complex calendar management, travel arrangements, expense reporting, and preparation of meeting materials.
Manage office operations, including vendor relationships, supplies, equipment, facilities coordination, and onsite space planning.
Support HR processes including onboarding, offboarding, maintaining employee records, coordinating interviews, and assisting with company policy administration.
Plan and manage company events, executive meetings, board and committee meetings, offsites, and team-building activities.
Assist Finance with contract management, subscription tracking, expense tracking, and payables support.
Support internal communications and culture initiatives to help maintain a positive, collaborative workplace.
Utilize AI tools (e.g., Microsoft Copilot, Perplexity, scheduling automation, document drafting AI) to improve workflow efficiency, research tasks, and administrative output.
Identify opportunities to streamline operations and implement process improvements
Requirements
Bachelor’s degree preferred but not required; equivalent experience considered.
A minimum of 8 years of administrative, office management, or executive support experience, preferably in biotech or a high-growth startup environment.
Demonstrated proficiency using AI-powered productivity tools, including AI assistants, meeting transcription platforms, automated document creation, and workflow optimization solutions.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Excellent written and verbal communication skills, with meticulous attention to detail.
Experience supporting senior-level executives and handling confidential information with discretion.
Proficiency with Microsoft 365, Microsoft Teams, Zoom, and common administrative platforms.
Ability to work independently and collaboratively, demonstrating sound judgment and problem solving skills.
Experience coordinating HR, finance, or operations tasks is preferred. • Professional, adaptable, and resourceful, with a service-oriented mindset.
